Context & Background

The seaport is part of a large business conglomerate in India. The port had grown substantially from its humble beginning and became the largest commercial cargo port in India. The organization’s leadership team would interact with many delegations of who’s who of the business around the globe. Most of these interactions would also include presentations by the team. For these presentations, the team would usually require latest updates / photographs of ongoing initiatives and projects at the port / site. There was no structured mechanism to collect these updates / photographs quickly without necessarily coordinating with multiple individuals. This was time consuming and often resulted in not getting the required kind of material well in time, leading to disappointments.

Key Challenges

1An important aspect of the project was to maintain the restrictions on accessibility while also having fairly good number of authorized personnel to have access from across geographies.
2Reluctance, on part of some departments within the organization, was a key challenge in executing the project to its successful completion.

Work Executed

Defined the structure and indexing pattern for repository
Identified authorized personnel and co-ordinators from each department
Created a central repository of images, covering entire port and related units
Coordinated collection of desired pictures from departments / individuals
Organized and indexed images into meaningful directory
Created access policy and implemented through IT system

Value Delivered

The project resulted into having the desired material readily available for the team to use. This eliminated the tedious task of coordinating with multiple people. This also fostered a system-based approach instead of individual-driven mechanism. On quantification, the organization benefitted with a savings of 4000+ man-hours p.a.
